How do I setup email on my Android phone (IMAP)?

1. To setup your email on your Android phone, first click on the Email icon on your phone's Application page.

2. On the first page of the Set up email configuration page, enter your email address and password.

    Click on Manual setup to setup your mail server settings.

     

3. Select IMAP account.

     

4. Fill in the information for your incoming server settings.

    

   * Note that you have to key in your full email address for User name.

   Press Next to proceed.

 5. Fill in the information for your outgoing server settings.

      

     Click Next to continue.

6. On Account Options, select the options for Email check frequency.

     

    Click Next.

7. Give an account name and displayed name for your email account.

     

    Click Done. Your email account is then successfully added into your Android phone.

Choosing specific IMAP folders from webmail to appear in your email client

If you are using IMAP to connect to your email account, you may only see your Inbox folder and no other folders you may have set up in your webmail. In this case, an IMAP folder list can be downloaded where you can then select which folders to view in your email client.


Outlook 2011

1.     Open Outlook.

2.     Go to the Tools menu on the application toolbar and choose IMAP Folders.

3.     Select the folder you would like to subscribe to and click Subscribe.

4.     Click OK

The newly subscribed folders should now appear in the folder list of your email account.

 

Outlook 2010

1.     Open Outlook.

2.     Go to the Tools menu on the application toolbar and choose IMAP Folders.

3.     Click Query.

4.     Select the folder you would like to subscribe to and click Subscribe.

5.     Click OK.

The newly subscribed folder should now appear in the folder list of your email account.
 

Mac Mail

1.     Launch Mac Mail.

2.     From the Mail Menuselect Preferences and then Accounts.

3.     Highlight your email account and click the Advanced tab. 

4.     Place a check next to the option to Automatically synchronize changed mailboxes

5.     Close Preferences and save the changes when prompted.

6.     Quit Mac Mail and relaunch the application. 

If your mailbox list is not showing, open the View menu and choose Show Mailboxes and click on the right-pointing triangle to the left of your account heading to reveal your IMAP folders.

 

Thunderbird

1.     Open Thunderbird.

2.     Highlight the appropriate IMAP account name in the left margin for configuring subscribed folders.

3.     Right-click (Windows) or ctrl-click (Mac) the account name to select Subscribe.

4.     Select the folder(s) you wish to subscribe to and choose Subscribe.

5.     Click OK to save the changes and exit the manage folder subscriptions window.

6.     Close Thunderbird and relaunch the program. 

A list of your subscribed IMAP folders should be displayed.

Mailbox Getting Full Notification

When your mailbox is getting full, you will receive an email notification specifying your mailbox utilization percentage.

By then, you may choose to clear your emails by download-and-delete through your mail client, or login with your webmail access to delete your emails. 

 

Note that when your mailbox quota is full, there will be a period of penalty time even after you have cleared off the emails.

The penalty time is required for the system to reduce the load, and to enable your account to receive incoming emails again.

 

If you are urgently in need of receiving any incoming emails, you may consult your administrator to increase your mailbox space.

 

Do ensure sufficient quota has been allocated for the user's account, especially for the more active ones-- the ones that are getting constant notification on mailbox getting full.

Email sending limits

If you are an email user, you have definitely come across this notorious term— SPAM. Spam mails, also known as junk mails, are unsolicited electronic mails sent in large quantities that consume the server resources and network bandwidth.

 

Spam mails can be annoying. However, in some cases, they are not sent intentionally. A user’s computer may be infected with viruses, causing it to send out spams using his/her email identity to random people or, most likely, people in his/her address book. Sending out spam mails can affect the user’s server’s reputation, causing it to be blacklisted or blocked by other email service providers. There is a need to control and hold the spam mails before it is delivered out. This is due to if the user’s email server is blacklisted, the user’s email will be blocked and could not reach their intended recipients in the future until it is whitelisted.

 

Therefore, in order to ensure your accounts safety and our system’s health, there is a limit of 1,000 email a day per domain allows to relay (to send out). This quota is reset at 12:00 AM of each day. If you have hit this quota, you will have to wait until the system reset the quota for the next day.

The incoming email traffic is not affected.

 

If you were getting this notification, you may not be the person consuming all of the allocated email in the domain. It is just that everyone in the domain has been blocked with the outgoing traffic.

iPhone IMAP Mailbox Setup Instructions

The following screenshots will assist you with setting up your mailbox with your iPhone using IMAP.

  1. Select Settings from your iPhone home menu.
  2. Select Mail, Contacts, Calendars.


  3. Select Add Account...


  4. Select Other.


  5. Select Add Mail Account.


  6. Substitute the below fields for the correct credentials regarding your email address information.

     
  7. Select IMAP > Refer to the INCOMING / OUTGOING SETTINGS below depending on which system you are on. You need to complete all fields.

     
  8. When attempting to verify you will receive the message "Cannot Connect Using SSL - Do you want to try setting up the account without SSL?" Select YES. After 1-2 minutes you will receive the exact same message, Select YES again. After the 2nd time you will get all check marks.

     
  9. Mail should be set to ON and Notes should be set to OFF, Select Save.


Congratulations you have successfully setup your mailbox to use IMAP on your iPhone.

 

Afteroffice IMAP notes

- IMAP server is the same with POP3 server, available as mail.your-domain.tld.

- Secure IMAP and POP3 are available with self-signed certification. Just accept the SSL when your mail client warn you about it.

- Login name must be using full email address. The legacy name-code and name%domain.tld are no longer supported.

- Sub mailbox is not supported under webmail.

- Apple notes and mailboxes are regconise by webmail.

- Mail rules apply only on Inbox.

 

How to recover emails that disappear from Outlook Express inbox

Have you ever encountered a situation where some emails disappear from your Outlook Express inbox? This is probably due to your .dbx files are corrupted. The best way to prevent this from happening is to subscribe for our email archive or backup service.

 

As for custom method, please follow the steps below:

 

Step I. Locate the Store Folder

  1. Open Outlook Express.
  2. Select Tools>Options.

     
  3. Click on the Maintenance tab and select Store Folder.

     
  4. A pop up box “Store Location” is displayed. Note that the path shown in the pop up field is the location to your emails and email folders.

     
  5. Copy the path location on the pop up box.
  6. Close Outlook Express.
     

Step II. Check and Test for Corrupted Inbox

  1. Go to My Computer.
  2. Paste the copied path onto the address field and press Enter.

     
  3. By right, you should be able to see files similar to screen shot below.

     
  4. Now, in your folder, check for any corrupted files.
    You may see files such as “Inbox(1).dbx”, which are the new files created; the old ones, such as “Inbox.dbx”, are probably corrupted.
  5. Rename the new files to a different name, e.g. rename “Inbox(1).dbx” to “Inbox(1).dbx.old”.
  6. Rename the possibly corrupted file to the name of the new file, e.g. rename “Inbox.dbx” to “Inbox(1).dbx”.
  7. Close the folder.
     

Now you can restart Outlook Express to see if the emails have appeared.

There are also tools available on the Internet for you to recover your inbox from corrupted files such as DBXtact.

How to setup an email account on Samsung Galaxy?

To setup your mail account on Samsung Galaxy (S/ S II), please follow the steps below.

 

Example:

  1. Open the application list from the home menu.

     
  2. Look for the “Email” application and tap on it.

    d. Require sign-in: Select

    f. Password: *******

  9. Press “Next” to continue.
  10. On “Account options”:
    a. Email checking frequency: Every 15 minutes
    b. Send email from this account by default: optional
    c. Notify me when email arrives: Select

     
  11. Click “Next” to continue.
  12. On “Set up email”:
    a. Give this account a name (optional): David (yourdomain.com)
    b. Your name (displayed on outgoing messages): David Tan
  13. Click “Done” to finish the email setup procedure.

How to setup Windows Live Mail as your mail client?

To setup Windows Live Mail as your mail client, please follow the steps below:

 

Example:

Full Name: David Tan

 

  1. Open Windows Live Mail.
  2. Select the “Accounts” tab and click “Email”.

     
  3. Fill in your email account details.
    E.g.:

    b. Password: ******
    c. Remember this password: 
    d. Display name for your sent message: David Tan
    e. Manually configure server settings: 

     
  4. Click “Next” to continue.
  5. On configure server settings:

         - Port: 110
         - Requires a secure connection (SSL): (leaves empty)
         - Authentication using: Clear text

    b. Outgoing server information

         - Requires a secure connection (SSL): (leaves empty)
         - Requires authentication:

  6. Click “Next” to proceed.
  7. Click “Finish” to end configuration.

     
  8. You can start to download your emails to your Windows Live Mail now. Click the “Send/Receive” button on the “Home” menu.

     
  9. The logon authentication prompt window will be displayed for first time user. Click “OK” to proceed.

 

Microsoft Outlook 2010 email setup

To setup Microsoft Outlook 2010 as your email client, please follow the steps below.

 

Example:

  1. Open Microsoft Outlook 2010.
  2. The following startup wizard is displayed if you are running MS Outlook 2010 for the first time. Choose “Next” on the welcome page.

    Select “Yes” to configure an email account. Click “Next”.


    * Note: If you are not running MS Outlook 2010 for the first time, go to “File” “Info” and choose “Add Account”.


     
  3. Select “Manually configure server settings or additional server types” and then click “Next”.

     
  4. Choose the option “Internet E-mail”. Click “Next” to proceed.

     
  5. .Fill in the required information. E.g.:
    i. User Information
         - Your Name: David Tan
         - E-mail Address: This e-mail address is being protected from spambots. You need JavaScript enabled to view it
    ii. Server Information
         - Account Type: POP3
         - Incoming mail server: mail.company.com
         - Outgoing mail server (SMTP): mail.company.com
    iii. Logon Information

         - Password: *******
    *Note: The username must be your FULL email address.


    iv. Test Account Settings:
         - Enable the “Test Account Settings by clicking the Next button” if you want to test your
           configuration after completing the setup.
  6. Click “More Settings…” to further configure your email account.
  7. On “Outgoing Server” tab, tick the option “My outgoing server (SMTP) requires authentication” and select “Use sane settings as my incoming mail server”.

     
  8. Go to “Advanced” section. Ensure that:
    i. Server Port Numbers
         - Incoming server (POP3): 110
         - This server requires an encrypted connection (SSL): [Leave blank]
         - Outgoing server (SMTP): 587
         - Use the following type of encrypted connection: None
    ii. Delivery
         - Select “Leave a copy of messages on the server” if you want to access your emails through
           your webmail or other email client other than your Ms Outlook 2010.

     
  9. Click “OK” once finish setting up.
  10. Back to the email settings page, click “Next” to continue.

     
  11. The “Test Account Settings” will run to test the feasibility of the send/receive operation via your configured account. If the tests complete without error, click “Close”.

     
  12. Click “Finish” to end the setup.

 

 

IMAP support in Afteroffice

The IMAP support enable iOS (iPhone, iPad), Andriod and many smart phones to access email smoothly.

Celcom 3G network connectivity issue

Celcom 3G customers may experience network connectivity issue while accessing their website and email server.

Based on our experience with Celcom 3G:

1. All IP starting with 10.191.* and 10.167.* worked well.
2. All IP starting with 10.177.* and 10.188.* does not work.

Meaning that if your mobile phone obtained an IP that starts with 10.188 or 10.177, you are likely to get connection problem to your email server and login via the web browser.

We have informed Celcom about this. Their latest respond to our report (1st Sept 2010) stated:

"Celcom is looking forward to provide 'Public IP address' for our Broadband customer.

You may contact our Technical Helpdesk at 1111 (via Celcom Mobile) or 1300111000 (others) for assistance"

We have no idea as when Celcom will abandone their existing "private IP" practice for all of their 3G users, but we believed that's could be the only way for them to resolve the problem.

At the mean time, drop your connection and redial to obtain a new IP (which in range of 10.191 and 10.167) is the only way that works.

MailNow configuration issues

A few special care you need to ensure MailNow running well in your setup.

1. Make sure to authenticate all the SMTP setup, so that email will be sent without issue. Sending email without SMTP authentication may works if "spoof prevention" has turn off, and only for internal email among users in within the same domain.

2. Make sure to set "Allow missing "QUIT" command in authenticated session" under SMTP settings to YES. You can find this option by login with your administrator account with VO, usually avomaster, and go to Profile -> Admin Tasks. *

 

* MailNow seems to terminate SMTP session without sending a proper "QUIT" command, which in many cases, can be treated as incomplete conversation and be ignored by the recipient server.

We have reported such issue to MailNow in August 2010. We hope they can rectify the issue in their future release.

Pointing email (MX) or Web (www) service to Afteroffice.com

If you wish to host your own domain at some other DNS service provider, and point your mail (MX) or web (www) over to Afteroffice.com, consult This e-mail address is being protected from spambots. You need JavaScript enabled to view it for the latest information about it.

If you wish to manage your domain on our own DNS, and configure the mail or web service to use with Afteroffice, follow the other note instead: "Pointing email (MX) or Web (www) service to Afteroffice.com".

Blackberry cannot send email to internal users

Blackberry uses their own server/service to relay email out, based on your email address, which could be treated as "spoof" in many email servers.
Afteroffice mail server reject these incoming email from Blackberry for the same reason too.

To disable spoof prevention system, you can login with avomaster or user account which carry the voadmin privilege: go to Profile -> Admin Tasks -> SMTP Settings -> Allow Spoof email -> turn it On.
By disabled the spoof prevention, users may get more spam carrying their own email address as the "Sender".

However, to guarantee the incoming email from Blackberry will not be treated as spam, you'll need to perform the following while login with admin: go to Profile -> Admin Tasks -> SMTP Settings -> Global Email Rules -> Insert the following line and click update.

How do I configure Windows Mail for Windows Vista?

 

Instructions below are the steps to setup Windows Mail as your mail client.

1. Open Windows Mail, click on Tools and select Accounts

Getting email from specific mailbox

 

You can get email from specific mailbox instead of the default Inbox. Specify your mailbox in the name section of the POP3 id, e.g.: This e-mail address is being protected from spambots. You need JavaScript enabled to view it This e-mail address is being protected from spam bots, you need JavaScript enabled to view it want to download from Read mailbox, please apply the setting as below:

Note that mailbox name are case sensitive, and only build-in names are available:
Inbox, Read, Draft, Deleted, Sent, Junk

For your custom mailbox, you will have to use the mailbox ID instead of long name.

Note: The Folder name is CASE SENSITIVE.

Export Contact from Outlook Express

1. Open Outlook Express, select File menu -> Export -> Address Book

2. Select the "Text File (Comma Separated Values)" and click "Export"

3.Specify the file name, you can use "addressbook" and click "Next"

4. Select the fields that you wish to export. Make sure you have at least the "Name", "Nickname" and "E-mail Address" selected. Click "Finish" to continue

A new file by the name of "addressbook.csv" will be created.
You may select this file in VO to import it at Webmail -> Address -> Import/Export

You are advice to use your own mail server in the form of:

mail.yourdomain.tld

where eg: for lookafter.com, the mail server will be:

mail.lookafter.com


SMTP server (outgoing mail server)

You SMTP server is the SAME with your POP3 server.

Note that Afteroffice SMTP server allows only genuine user to send email. You will need to check your email first by performing a POP3 session, then only perform a SMTP session to send your email out.

You must also set the sender email address in your mail client to the exact email address that you use in VO.

 


POP3 id (login name)

The POP3 id (also known as login name) is your full email.

There are 2 types of login name supported by Afteroffice POP3 service.

Example email to setup:

POP3 ID supported:

For Outlook Express, Netscape Mail, Mozilla and most mail client applications, you may use full email as your POP3 id. This is the most convenient method to configure your mail client. Afteroffice recommends you use this method for all your mail client configurations.

Type 2:

For some versions of Eudora, using an "@" in the POP3 id field is prohibited as it has been used as the mail host separator, and thus you may substitute with a "%" here. A typical Eudora mail id could be something like:

How do I setup Microsoft Outlook 2007 as the mail client?

 

To setup Microsoft Outlook as your mail client, please follow the steps below:

How to retrieve/reset password for my account?

 

For VO user (AfterOffice.com):

1) Go to your VO login page (www.your_domain_name.com) or www.afteroffice.com/login
2) Click on Login button

3) After you click on Login, you will be lead to a page as below

5) And you will be lead to another page as below

6) Enter the user's full email address into the prepared field
7) Click on Request
8) The password will be forward to a predefine alternative mailbox
9) Check your password now
