====== Email Setup Guide: Microsoft Outlook (Secure POP3) ====== ==== Setting Up New Email Account ==== 1. On Ms Outlook, click on **[File]**. {{:faq:email:mail-setup:ms-outlook-secure-pop:setup:1.png|}} 2. Click on **[+ Add Account]**. {{:faq:email:mail-setup:ms-outlook-secure-pop:setup:2.png|}} 3. A pop-up box like the following image will be shown. Here, enter your email address (e.g. name@yourdomain.com) into the given field, and click on the **Advanced options** to select “Let me set up my account manually”, and click **[Connect]**. {{:faq:email:mail-setup:ms-outlook-secure-pop:setup:3.png|}} 4. Select **POP** as the type. {{:faq:email:mail-setup:ms-outlook-secure-pop:setup:4.png|}} 5. Then, enter your email password and click **[Connect]**. {{:faq:email:mail-setup:ms-outlook-secure-pop:setup:5.png|}} 6. A security warning will be displayed as follows. Click **[Yes]** to accept the certificate. {{:faq:email:mail-setup:ms-outlook-secure-pop:setup:6.png|}} //*Note//: The warning is displayed due to each secure certificate has to be verified against the server name that you connect to. If you connect to mail.yourdomain.com, your mail application will warn you as the certificate belongs to someone else like *.agnx.com. You can safely accept the certificate that is coming from agnx.com as it is AfterOffice Global Network Exchange domain. 7. Once the account is successfully created, click **[Done]**. {{:faq:email:mail-setup:ms-outlook-secure-pop:setup:7.png|}} --------------------------- ==== Verifying Setup ==== To check if your account is set up correctly: 1. Go to **[File]**. {{:faq:email:mail-setup:ms-outlook-secure-pop:verify:1.png|}} 2. Click on **[Account Settings]**, then **[Account Settings…]**. {{:faq:email:mail-setup:ms-outlook-secure-pop:verify:2.png|}} 3. A pop-up box entitled “Account Settings” will be displayed. Click on your email account, and select **[Repair]**. {{:faq:email:mail-setup:ms-outlook-secure-pop:verify:3.png|}} 4. On another pop-up box, click on **Advanced options** to select “Let me repair my account manually”, and click **[Repair]**. {{:faq:email:mail-setup:ms-outlook-secure-pop:verify:4.png|}} 5. For incoming mail setting, make sure that: | User name | **name@yourdomain.com** (Your full email address) | | Server | **mail.yourdomain.com** OR \\ **pop.yourdomain.com** \\ (where //yourdomain.com// is your actual domain) | | Port | **995** | | This server requires an encrypted connection (SSL/TLS) | YES | {{:faq:email:mail-setup:ms-outlook-secure-pop:verify:5.png|}} 6. For outgoing mail setting, there are two options: (I) If you are using STARTTLS: | Server | **mail.yourdomain.com** OR \\ **smtp.yourdomain.com**\\ (where //yourdomain.com// is your actual domain) | | Port | **587** | | Encryption method | **STARTTLS** | | My outgoing (SMTP) server requires authentication | YES with “Use same settings as my incoming mail server” | {{:faq:email:mail-setup:ms-outlook-secure-pop:verify:6a.png|}} (II) Or if you are using SSL/TLS: | Server | **mail.yourdomain.com** OR \\ **smtp.yourdomain.com** \\ (where //yourdomain.com// is your actual domain) | | Port | **465** | | Encryption method | **SSL/TLS** | | My outgoing (SMTP) server requires authentication | YES with “Use same settings as my incoming mail server” | {{:faq:email:mail-setup:ms-outlook-secure-pop:verify:6b.png|}} --------------------------- ==== Configuring How Much Days Emails are Kept on Server ==== Ms Outlook POP3 downloads email from a server to your PC, and then deletes it from the server. You can configure how long the emails can be stored on the server before removing them. The default no. of days set on Ms Outlook is 14 days. To configure this setting: 1. Go to **File**. {{:faq:email:mail-setup:ms-outlook-secure-pop:keep-mail-setting:1.png|}} 2. Then, select **Account Settings...** > **Manage Profiles**. {{:faq:email:mail-setup:ms-outlook-secure-pop:keep-mail-setting:2.png|}} 3. On the "Mail Setup - Outlook" window, click on **[Email Accounts]**. {{:faq:email:mail-setup:ms-outlook-secure-pop:keep-mail-setting:3.png|}} 4. The "Account Settings" window will be displayed. Here, select your email account and click **[Repair]**. {{:faq:email:mail-setup:ms-outlook-secure-pop:keep-mail-setting:4.png|}} 5. Then, on "Repair Account", select "Manual setup or additional server types" and click **[Next >]**. {{:faq:email:mail-setup:ms-outlook-secure-pop:keep-mail-setting:5.png|}} 6. On the next screen, click **[More Settings...]**. {{:faq:email:mail-setup:ms-outlook-secure-pop:keep-mail-setting:6.png|}} 7. A pop-up box entitled "Internet Email Settings" will be displayed. Click on the **Advanced** tab. {{:faq:email:mail-setup:ms-outlook-secure-pop:keep-mail-setting:7.png|}} 8. On the "Delivery" section, you will see the "Leave a copy of messages on the server" being selected. You can change the no. of days at the "Remove from server after" option. E.g. if you put 30 days, it means the email will be kept in the server for 30 days after it is downloaded. Once you have made changes to this setting, click **[OK]** to save it. 9. Here, if you receive the certificate warning, click [Yes] to accept the mail certificate from AfterOffice.
